Your First Week with OzRunways Dashboard: A Setup Checklist for New Operators
This guide walks you through setting up your organisation in Dashboard during your first week. You don't need to do everything at once. Each step builds on the one before, and by the end of the week your pilots will be flying with your aircraft, documents and waypoints at their fingertips. This is the foundation of your Dashboard to get you started; then you can get into the more advanced features!
If you get stuck at any point, contact us. Details are at the bottom of this page.
Before you start: sign up for your trial
If you haven't already, sign up using the trial form on our website: https://www.ozrunways.com/au/services/commercial-operations/#request_trial
You'll be asked for:
- your organisation's details
- the number of OzRunways subscriptions you need
- the subscription level that suits your operation
Not sure which subscription level is right for you? You will trial the full suite of features so you can determine which tier of Dashboard works best for your operation. Contact us and we'll help you choose: support@ozrunways.com
1: Set up your foundations
☐ Assign your admins
Admins manage your organisation's account in Dashboard. Think about who in your operation should have admin access. You can configure both Admin and View levels for Dashboard Admins.
Tip: Having at least two admins means someone can always make changes, even when one of you is away or flying.
☐ Assign your User ID's
Allocate your User ID's to your crew. Once they've accepted, ask them to download OzRunways and log in so their account is linked to your organisation.
Tip: Make sure you lock the accounts! This is done by configuring the padlock icon next to your User ID's in the Subscriptions page. Once all your primary and backup devices are signed in to a User ID, locking secures the account from accidental sign out.
2: Load your operational content
☐ Upload your documents
Upload the documents your pilots need, such as your operations manual, SOPs and checklists. These are then available immediately to your pilots in the app in the Documents section.
☐ Add your aircraft profiles
Create a profile for each aircraft in your fleet so pilots can plan accurately. Choose a template from the aircraft library or start from scratch with a blank.
☐ Get your weight and balance certified
If you operate under an AOC, your aircraft weight and balance profiles need to be certified by a Weight Control Officer (WCO) to be used in OzRunways.
Start this step early. It depends on your WCO's availability, so it can take longer than the other setup tasks.
- Already have a WCO? Contact them as soon as your aircraft profiles are in place.
- Don't know a WCO? We can recommend one. Just get in touch.
3: Tailor OzRunways to your operation
☐ Create custom waypoints
Add the locations that matter to your operation, such as private strips, station ALAs, farm landing areas or other points you use regularly. Custom waypoints are shared with your pilots. This can be done in-app or on the Dashboard. Documents can also be tagged to Waypoints or Aerodromes to show your pilots special procedures or need-to-know information about a particular location.
☐ Explore the features that suit your operation
Every operation is different. Here are some good places to start:
| If you're a… | Try these features |
|---|---|
| Charter operator | Document Library, Plans, Routes, PDF Pack Library, API Access. |
| Flight training organisation | Document Library, Plans, Waypoints, API Access. |
| Aerial work / agricultural operator | Custom Maps, KML Overlays, Waypoints, Waypoint Groups. |
| Station or private operator | Custom Maps, KML Overlays, Waypoints, Waypoint Groups. |
☐ Do a test run
Ask one of your pilots to plan a real flight from start to finish using your new setup, with your aircraft profile, documents and waypoints. It's the quickest way to find anything that's missing before you rely on it operationally.
4: Check in with your Customer Success Manager
About a week after you sign up, your Customer Success Manager will reach out to see how you're going and offer a full walkthrough of Dashboard.
To get the most out of that call, run through this quick checklist first:
- ☐ Admins assigned
- ☐ Pilots invited and logged in
- ☐ Documents uploaded
- ☐ Aircraft profiles added
- ☐ WCO contacted for weight and balance certification
- ☐ Custom waypoints created
- ☐ Test flight planned
Anything you haven't ticked off yet is a good thing to bring to the walkthrough.
